AI for MYOB
No migration, no new app for your clients to learn, no disruption to files that have been running for a decade. Just the data entry and the chasing, done by something that does not mind doing it.

Ten Years of History Is an Asset, Not Baggage
Which is the opposite of what firms with long-established MYOB books usually assume about their own data.
There is a persistent assumption that automation belongs to the shiny new file and that a decade-old ledger is something to apologise for. It is backwards. Coding accuracy comes almost entirely from history — how this particular supplier has actually been treated in this particular file, repeatedly, over years. A file with ten years of consistent treatment is a far better reference than a clean one opened last March, which offers the AI essentially nothing to learn from.
The caveat is real, though, and worth being blunt about: consistency is what matters, not age. Ten years of a supplier being coded four different ways by four different bookkeepers is ten years of noise. The correct behaviour there is not to average it or pick the most recent — it is to flag the inconsistency and let a person decide. For a lot of long-running files, that surfacing is the first genuinely valuable thing automation does, before it saves a single keystroke.
The second thing firms with MYOB books tend to worry about is the clients themselves. Long-established relationships often mean less-digital clients who are perfectly content with how things work and have no appetite for a new app. Fair enough — and the honest answer is that almost nothing changes for them. They still email a bill or photograph a receipt. There is no portal, no new login, no habit to relearn. The change is on your side of the relationship.
The one exception, and you should know it going in: they will get more document reminders than they used to, because the reminders will actually be sent. That tends to land better than firms fear — provided they are polite, specific and not relentless, which is why the cadence is yours to configure rather than ours to impose.
How It Works With an MYOB Book
What applies to your particular products, versions and hosting is confirmed on your real estate at onboarding — not claimed generically here.
Mixed Estates Are Normal
MYOB’s product line has more than one lineage, and a long-established book usually spans several. We check yours rather than make a blanket claim across all of it.
- Your actual products and versions assessed first
- Told up front which files can be connected and how
- Files needing a different approach identified early
- Works alongside Xero and QuickBooks files in the same firm
History as the Reference
Years of established treatment in a file is the strongest coding signal available — and inconsistency in that history is surfaced rather than perpetuated.
- Codes from the file’s own supplier history
- Long-standing recurring patterns recognised
- Inconsistent historical coding flagged, not averaged
- Suggestions show the history behind them
MYOB Stays the Ledger
No migration, no second system of record, no quiet precondition that your clients move platforms. The AI works upstream of the file.
- No ledger migration required or implied
- Reporting and workflows stay where they are
- Transactions proposed for approval into the existing file
- Source document attached to its transaction
Reconciliation and AP Prep
The same capabilities as the rest of the product, pointed at MYOB files: bills captured and coded, reconciliations prepared, exceptions isolated honestly.
- Bill capture, coding and approval routing
- Reconciliation prepared, never force-matched
- Missing documents chased continuously
- Payment authorisation always stays with a human
Nothing New for Clients
The client keeps emailing bills and photographing receipts. The one visible change is that document reminders now actually get sent.
- No client app, portal or login to adopt
- Existing intake habits preserved
- Reminder cadence set by you, per client
- Escalates to your team rather than nagging indefinitely
Strict File Isolation
Each client file is its own context. A document captured for one client cannot be posted to another — enforced structurally, not by policy.
- Client files strictly separated
- Per-staff access control and full action logging
- Built for Privacy Act 1988 obligations
- Practice view without mixing client data
How We Start on an Established Book
Slower than a greenfield rollout, on purpose. There is more history to respect and more that can be disturbed.
Assess the Estate Honestly
We look at what your clients are actually on — products, versions, hosting arrangements — and tell you which files can be connected, in what way, and which would need a different approach. If something you want is not supported, you hear it at this step.
Read the History, Report the Mess
Before automating anything, we look at what the history says. Where a file has clean, consistent treatment, that becomes the coding reference. Where it does not, you get a list of the inconsistencies — which is frequently the more valuable output.
Pilot on a Few Files, Review Everything
Start on a small number of files with your team reviewing every proposal. Watch what it codes, what it flags and what it refuses to touch. This is where you decide whether you believe it, on your own data.
Extend, or Do Not
Extend across the book at your pace and relax review only on categories you are comfortable with. Some firms stay in review-everything mode permanently and still get most of the benefit, because the keying and the chasing were always the expensive part.

Mixed estates, legacy history, and what your clients will and will not notice.
No. We are an independent Australian product, we are not affiliated with, endorsed by, certified by or partnered with MYOB, and MYOB is their trademark. Our software works alongside an MYOB file with your authorisation, and nothing more should be read into it than that. We are deliberate about this wording because the add-on marketplace habit of implying official blessing leaves firms unclear about who is accountable when something breaks — and the answer, in our case, is us. What our software can actually do against your particular MYOB products, versions and hosting arrangement is something we confirm with you during onboarding, on your real setup, rather than assert generically here.
It matters for how we connect, not for what your team experiences. MYOB’s product line has more than one lineage, and firms with long-established client bases usually have a genuine mix — some clients on newer cloud-based products, others on AccountRight files that have been running for years, sometimes with different hosting arrangements behind them. Rather than make a blanket claim across all of that, we check your actual estate at the consultation and tell you which files we can work with, in what way, and which ones would need a different approach. Where a file cannot be connected in the way you would want, you hear it before you buy something, not after.
Genuinely useful — it is the single biggest advantage a long-established MYOB book has, and it is usually underrated. Coding accuracy comes almost entirely from history: how this supplier has actually been treated in this file, over years, through different bookkeepers. A file with a decade of consistent treatment gives the AI a far stronger reference than a pristine new one, which is the opposite of what most people assume about legacy data. The caveat is that consistency is what matters, not age. A decade of a supplier coded four different ways by four different people is a decade of noise — and the AI’s correct response to that is to flag the inconsistency for a person rather than pick a fifth treatment. That surfacing is often the first real value a long-running file gets from this.
No, and we would be suspicious of anyone whose automation pitch quietly requires a ledger migration. MYOB stays the ledger. We do not want to be your ledger, we are not building one, and a forced migration is one of the most disruptive and expensive things you can do to a client — particularly one with years of history, established reporting and staff who know the software. The AI works upstream of the ledger: reading documents, deciding what they are, chasing what is missing, and proposing transactions for your team to approve into the file that already exists. If a client should move ledgers, that should be a decision made on its own merits, not smuggled in as a precondition for automating data entry.
This is the right question, and it is usually the deciding one. Firms with long MYOB histories often have clients who are older, less digital and quite content with the way things are — and the honest position is that the AI changes very little for them, by design. The client still emails a bill or photographs a receipt; there is no new app they must adopt, no portal to log into, no habit to relearn. What changes is on your side. The one place they will notice is document chasing: they will get more reminders than before, because the reminders will actually be sent. In our experience that lands better than firms fear, provided the reminders are polite, specific and not relentless — which is exactly why the cadence is yours to set.
Strict isolation, enforced structurally rather than as a policy. Each client file is its own context with its own chart of accounts, supplier history and rules, and a document captured for one client cannot be posted to another. That is not merely a data hygiene nicety for a firm — you are handling other people’s financial records, and under the Privacy Act 1988 you are accountable for keeping them separate and secure. Access on our side is per staff member, and every action is logged: what the AI proposed, who reviewed it, what they changed and when. Above the individual files, the practice view shows where exceptions are waiting and which clients are not responding, without mixing any of their data together.
Keep the File. Keep the Client. Lose the Keying.
